Job Description:

Job Title: Administrative Assistant Overview: Title: Administrative Assistant Reports to: Operations Manager Schedule Type: Full-time, Non-exempt Location: Office located in Anaheim, CA. Requires some travel throughout the Greater Los Angeles Area. Pay Range: $17-$19 Duties & Responsibilities:

  • Answers phones calls, schedules meetings and supports office visitors
  • Carries out administrative duties such as filing (maintaining systems both electronic and physical), copying, typing, scanning etc.
  • Maintains shared office calendar
  • Provides data entry and monthly batch processing of donations
  • Pulls timely donation receipts and pledge reminders for donors including end of the year statements
  • Provides office support and help as needed with setting up equipment such as phones, copiers, etc.,
  • Ensures that new hire office spaces are setup prior to first day and coordinating with Operations Coordinator for IT needs
  • Provides training for all new staff on shared calendar and internal phone platforms
  • Coordinates all office meetings both physical and virtual, managing the online scheduling platform
  • Prepares emails, letters, reports, and instructional documents
  • Maintains minutes of meetings for monthly staff meeting
  • Is the first point of contact for all day-to-day office needs
  • Receives mail and distribute accordingly as well as handle postage account and sending of mail
  • Coordinates Annual banquet ticketing and registration
  • Manages the online supply request forms and order office supplies as well as track and maintain inventories
  • Makes sure that CAIR-LA is proactive in addressing office needs by selecting/updating vendors to best suit the organization
  • Makes travel arrangements and lodging arrangements as needed
  • Communicates with janitorial service as needed
  • Other duties as assigned Qualifications:
    • High School Diploma or GED with minimum 1-year experience in an administrative role
    • Proficiency in using Microsoft Office programs and Salsa Labs (preferred)
    • Basic computer maintenance knowledge and ability to learn basic server and networking skills
      • Meticulous attention to detail, excellent organizational skills, and an ability to meet strict deadlines
        • Comfortable working in a fast-paced, team-oriented environment
          • Ability to take initiative, manage multiple tasks and work independently
            • Excellent oral and written communication skills to interface with staff, community leaders, volunteers, and donors in a professional and effective manner Other:
              • Full-time with occasional evenings and weekends required
              • Occasional travel locally for outreach including participating in community events
              • All CAIR staff are required to assist in general duties such as answering phones, weekly outreach, fundraising, and other office tasks as required Compensation:
