Senior Payroll Representative (UlKG Pro)

Job Description:

Purpose:  Provide first contact support to internal and external customers for payroll processing, inquiries, assistance and data verification with an emphasis on providing excellent customer service in an accurate, professional and timely manner. This position is responsible for the data entry, maintenance, payroll processing, report and analysis of associate data utilizing the Payroll integrated application. Support HR Initiatives that drive EBITDA results

Core Accountabilities:

  • Administer all aspects of payroll processing for assigned pay group(s)/region for high-volume, fast-paced biweekly payrolls by required deadlines.
  • Maintain a thorough understanding of current multistate tax laws for income tax, state reciprocity agreements, and unemployment tax to ensure appropriate tax calculations and withholding.
  • Input and reconcile associate information such as personal data, compensation changes, required documentation, and status information timely.
  • Analyze and reconcile payroll data for accuracy. Resolve discrepancies to ensure accurate posting to payroll and associate records.
  • Ensure all payroll operations and communications comply with company policies as well as federal, state, and local regulations.
  • Understand and appropriately administer wage garnishments as required by federal and state laws to ensure proper and timely deductions. Responsible for timely responses to creditor and associate inquiries.
  • Understand and appropriately administer state-by-state termination pay laws.
  • Manage and reconcile requests for paid time off, ensure time off requests are paid timely and correctly
  • Performs other duties including balancing and controlling earnings and deduction totals, inspecting automated system output such as registers and standard reports, determining and correcting out-of-balance conditions.
  • Gather payroll data and prepare special reports for management and internal departments
  • Maintains process documentation of payroll and payroll-related activities.
  • Complete written wage verification and unemployment for outside agencies completely, accurately, and within the time frame requested.
  • Receive and timely resolve inquiries from associates and internal partners.
  • Timely and effectively communicate with management and internal partners regarding interrelated transactions.
  • Keep current in changes with payroll compliance, leave pay, and payroll tax laws.
  • Understand and apply payroll confidentiality, compliance, and internal controls.
  • Prioritize tasks, meet deadlines, attention to detail, adapt to frequent changes.
  • Perform other related duties as required and assigned.


Education/Experience Required:

  • Minimum of 1 year of current experience with UltiPro advanced access
  • 2-year associates degree in business, finance, accounting required
  • Bachelor’s degree preferred
  • Minimum 2-year multi-state automated payroll experience
  • FPC or CPP preferred

Physical Requirements:

The physical demands described here are representative of those that are required by an associate to successfully perform the essential functions of this job. 

  • While performing the duties of this job, the associate is regularly required to talk or hear. The associate is frequently required to sit; stand; walk; use hands to finger, handle or feel; as well as reach with hands and arms.
  • The associate must frequently lift and/or move up to 15 pounds and occasionally lift and/or move up to 35 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception and ability to adjust focus.
  • Ability to work in open environment with fluctuating temperatures and standard lighting
  • Ability to work on computer and mobile phone for multiple hours; with frequent interruptions
  • Required to travel in elevator or stairwells to attend meetings and engage with associates on multiple floors throughout building

Position Type/Expected Hours of Work:

This is a full-time position.  As an International Retailer, occasional evening and/or weekend work may be required during periods of high volume.  This role operates in a professional office environment and routinely uses standard office equipment.
