Jensen Hughes is seeking a remote Proposal Coordinator in the U.S. The Proposal Coordinator supports the Proposal + Capture Marketing function by performing duties which include assisting with proposal development and production; developing and executing direct marketing initiatives; and providing additional sales, vendor management, and market research support as needed regionally. Organizes, produces, and assembles proposal submissions including RFI’s, RFQ’s, RFP’s, LOI’s, SOQ’s, SF330’s, and Vendor Registrations.Helps to coordinate strategic client vendor procurement, registration and management with Finance, Contracts and other business areas as needed.Contributes to building a repository of materials specific to regional needs.Updates client and project information in the marketing project and personnel database, Cosential, including project descriptions, staff resume updates and other shared knowledge used by the proposal team.Adheres to established proposal and knowledge management templates and quality standards while adhering to established Jensen Hughes Brand guidelines.Assists in other marketing and/or business development areas as requested or assigned.Adheres to proposal capture process.Experience and Skills:Prior experience with architecture, engineering or consulting firm is preferredPrior experience in sales / business development is a plusProficient in MS Office Suites - Outlook, Excel, Word, PowerPoint and Teams.Proficient in Adobe InDesignExperience in CRM systems - Microsoft Dynamics, SalesForce, Cosential HighRise Knowledge of Microsoft Dynamics and / or Cosential is preferredAbility to understand principles of layout and application to marketing materialsAbility to manage multiple proposals, deadlines, and contracts by evaluating changing business and conditionsExperience collecting data from a variety of stakeholders and functional business areas, including project managers and finance to generate proposals within respective regionStrong written and verbal communication skills requiredExceptional attention to detail, quality control review, and proofreading skills requiredStrong time management skills requiredExperience managing high-volume teaming requests and client-specific templatesExperience writing qualifications materials for proposals for a variety of industries, such as healthcare, government, oil and gas, industrial, fire and security code workAdditional language fluency both written and verbal is a plusClearly articulates thoughts to team members and clientsAbility to manage and execute a request for proposal (RFPs) and request for qualifications (RFQs) to strategically develop a response based on market knowledgeAbility to create a proposal checklist of deliverables and coordinate with stakeholders to complete list in timely mannerEffectively communicate strategic ideas for proposals with clients - both internal and externalPoses a thorough understanding and ability to support marketing and business development activities within various industries and client types, as needed for the region, practice, vertical market, or service lineExperience with West Region (Pacific NW, Southwest, Rockies), North American Markets (US and Canada) clients, is a plusOccasional flexibility to work extended hours to accommodate deliverables may be required as neededEducation and Licenses:Bachelor’s degree (B.S.) from four-year college or university essential3-5 or more years of related experience in similar industry or in engineering/building industry B2B business/industryEquivalent combination of education and experienceEstimated Travel :10 percentPhysical Requirements:This job may be remote or may operate in a professional office environment; however, some physical work is required. Such as the ability to lift files, open filing cabinets and bend or stoop, as necessary.
