The Project Coordinator will be responsible for ensuring that PV, pool, and service jobs move smoothly from intake to completion. This role will be the first interaction many of our customers will have with TENCO SOLAR, so the Project Coordinator will play an important role in providing excellent customer service. The PC will also be responsible for scheduling site visits and installations for customers, populating and maintaining the work schedules for our service teams, inspection crews, and inspection teams, and ensuring that projects are moving forward. The PC will play a crucial role in communicating relevant timelines, technical, and process-oriented information to our sales team, our Director of Customer Care, and our service and installation teams. In addition, the PC will play a front-line role in our office -- answering phones and emails, managing mail and deliveries, maintaining and updating inventory, and other assignments as needed to ensure efficient business operations. Project progress communicate should be timely, concise, and accurate.* Serve as backup customer intake when commercial or residential sales team are unavailablePool Jobs* Set and, at times, re-set expectations with the customer on the installation itself along with next steps in the project's post-construction phase* Schedule pre-site inspection* Ensure pre-site inspection is converted into an estimate and sent to Robert within 2 business days* Schedule installation and any additional visits to property* Order supplies needed for installation, so that they will be on site by installation date.* Update High Level notes and opportunity stage throughout installation process, so that sales team always has update information about status of project and communicate with client* Project progress communicate should be timely, concise, and accurate.Service Jobs* Serve as back up on phones for Director of Customer Care in afternoons* Per Director of Customer Care's notes in High Level, create estimates and upload to High Level* Per Director of Customer Care's notes in High Level, create jobs in Service Fusion* Order any additional supplies needed for service jobs, so that they will be on site or at warehouse by installation date.* Communicate updates on schedule changes, delays in equipment, etc, to Director of Customer Care, ensuring prompt and consistent communication with customers.* Project progress communicate should be timely, concise, and accurate.* Each week, update completed service jobs in Service Fusion to match notes from tech, create invoice, and send invoices to customers through QuickBooks and ensure collection.Office and Warehouse* Give every employee, client, and visitor a warm welcome at the front desk and communicate any important information or directions* Handle deliveries and manage incoming and outgoing mail* Provide administrative support to other team members with data entry, paperwork, photocopying, etc. when needed* Answer phone calls and emails and communicate relevant information to the appropriate parties* Maintain warehouse inventory and order necessary supplies to keep warehouse appropriately stocked.Tech Teams* Maintain a populated crew schedule for at least 2 weeks out* Managing the installation scheduling queue, ensuring that each crew is scheduled as efficiently as possible and in advance as much as possible. This also includes communicating with the Operations Manager to ensure that the schedules make sense given individual project details.* Serve as backup for COO in maintain timesheets for tech teams. Ensure all timesheets are submitted to Director of Marketing on the Monday following the last day of the pay period.Service Fusion* Serve as owner of Service Fusion. Ensure we are maximizing use of tool.* Maintain accurate product and price lists* Ensure calendar is up to date and accurate* Conduct a regular contact clean-up to eliminate duplicate records and ensure records have accurate and complete information (full name, email, phone number, and service address).QUALIFICATIONS* Minimum 2 years of experience in a customer support or scheduling role* Experience in Solar Industry* Strong computer skills* Excellent customer service skills, including verbal communication, written communication, listening, and follow-up.* Ability to multi-task in a high-volume environment and is results-oriented to deliver an outstanding customer experience.* Proactively examines problems and develops thoughtful, workable solutions.* Maintains constant sense of urgency and initiative.* Highly detail oriented and organized* Excellent time management and multi-tasking skills* Ability to work well with others in a collaborative team environment* Regular, reliable, and predictable attendance required* Must have graduated high school, received a G.E.D. or equivalentLocation: Anaheim, CA (some flexibility with approval from manager)Hours: 8:00am-5:00pm, Monday-Friday (some flexibility with approval from manager)Job Type: Full-timePay: $52,000.00 - $65,000.00 per yearBenefits:* Dental insurance* Health insurance* Paid time off* Vision insuranceSchedule:* Monday to FridayAbility to commute/relocate:* Anaheim, CA 92801: Reliably commute or planning to relocate before starting work (Required)Work Location: One location
